Position Purpose: Provides professional back-office clerical and/or front-office reception functions that support quality clinical services, efficient business practices and engaged customer service.
General Responsibilities:

Detailed Responsibilities:
- Greets consumers, visitors and other staff when they enter the work area. Oversees that consumers sign in for their appointments.
- Supervises and maintains the waiting room, ensuring it is safe, clean, and organized. Ensures that an adequate supply of working toys and current magazines is available.
- Maintains personal work space and/or office in a clean, well-organized and safe manner.
- Develops and maintains the weekly appointment schedule, based on input from the Therapists. If a client does not keep the appointment, indicates the missed appointment as a “No Show” on the sign-in log, which is given to the Program Director on a weekly basis.
- Collects co-pays at time-of-service and updates the fee card. Gives receipts to the consumer. On a weekly basis, completes the ledger and forwards it to the billing team.
- Provides clerical support to the team by word-processing correspondence, rescheduling clients, making copies, faxing and/or mailing records, releases and PCP notifications within the business week and completing other reasonable requests. Completes tasks within the required timeframe.
- Answers phone calls promptly. Returns voicemail, faxes and emails within the business day. Takes accurate messages and delivers them to the appropriate person.
- Organizes and distributes the mail and posts out-going items by the close of each business day.
- Completed intakes forms accurately, ensuring that initial insurance information is correct. Schedules clients for Parent Orientation and informs them about what documentation they are required to bring.
- At a minimum, assists in Parent Orientation by setting up the room and overseeing that all client paper work is complete and accurate and that required documents, like social security cards and insurance cards, are included in the intake packet. Schedules the psycho-social evaluation with an appropriate Therapist.
- Forwards enrollment packet to Billing Liaison and prepares labels. Compiles client chart. Ensures they are well maintained and organized according to agency and provider requirements and ready for physician or audits.
- Provides administrative QA to client charts.
- Develops a current list of closed charts. Maintains the file room and ensures security of the charts kept there, including chain of custody procedures as needed. Organizes charts for annual Data Savers distribution.
- Keeps a current daily listing of Therapists’ schedules.
- Prints progress notes on a daily basis and organizes them for Therapists’ signatures. Completes chart filing for each therapist on a weekly basis, with an error rate not to exceed 2%.
- Maintains a current and complete supply of agency forms. Updates them as needed and discards out of date copies.
- Ensures that an adequate supply of office supplies is available. Completes supply requests, obtains authorization and forwards the request to the Administrative Secretary.
- Oversees petty cash operations, including retaining receipts and balancing the funds. Keeps supervisor informed of proceedings.
- Oversees monthly and quarterly income verification for TANF funded clients.
- Completes other tasks as assigned by direct supervisor.
Required Competencies:
